Artwork Proof & Pro Forma Invoice Sent
Your artwork proof and Pro Forma Invoice are emailed together. Review the artwork carefully, including spelling, images, positioning, flag orientation and final layout. The Pro Forma Invoice confirms the selected products, final pricing and any applicable delivery charges.
Artwork Approval & Payment Requirements
Approve the supplied artwork proof before production. Customers without an approved trading account must also complete payment. Approved account customers approve the artwork and payment follows their agreed account terms.

Released to Production
Once the artwork is approved and the applicable payment requirements are satisfied, your Teardrop Systems order is released to production. Tax Invoice documentation is issued according to the applicable payment or approved account arrangement.
Delivery Information

Delivery is calculated after your Teardrop Systems order has been received and reviewed. Charges are based on the destination, postcode, selected poles, carry bags, bases or mounts, order quantity and final package size.
The applicable delivery charge will be clearly shown on your Pro Forma Invoice before artwork approval and any required payment are requested.
Collection may be available by prior arrangement. Customers without an approved trading account must complete payment before production begins. Approved account customers follow their agreed account terms.

Outdoor flags are continuously exposed to sunlight, wind and changing weather conditions. Following the recommended operating limits will help protect your printed flag, pole and base while extending the useful life of your Teardrop System.

Flag Longevity
Outdoor flags naturally experience fading and material fatigue through ordinary use. A nominal service life of approximately three months may be expected, although actual longevity depends on sunlight, wind, weather, installation, frequency of use and general care. Larger flags experience greater wind loading and may wear faster than smaller flags.

Beaufort Wind Scale
Use the guide below to assess outdoor conditions. Teardrop Systems should be removed as conditions approach a strong breeze and must not be used in Beaufort 6 winds or higher. Wind gusts may be stronger than the reported average speed.

Strong-Wind Use and Warranty
Using a Teardrop System in unsuitable wind conditions may cause premature flag wear, movement of the base or damage to the pole. Pole breakage resulting from use in Beaufort 6 conditions or stronger is not covered under warranty. Always remove the system when strong winds, storms or severe weather are expected.
Replacement Poles Available
Replacement poles and carry bags can be purchased separately through the Teardrop Systems calculator. Select the pole that matches your PROMO, EVENT or LANDMARK flag size.
The three-month service-life figure is a general guide rather than a guarantee. Actual longevity depends on environmental exposure, installation, handling, maintenance and frequency of use.

What is the difference between single-sided and double-sided flags?
Single-sided: the design is printed on one side and shows as a mirrored image when viewed from behind.
Double-sided: two printed layers with a blockout layer allow graphics and text to read correctly from both sides for stronger visibility and impact.
Can I order a replacement flag without a pole?
Yes. Choose Replacement Flag — Single-Sided (Only) or Replacement Flag — Double-Sided (Only), then select the PROMO, EVENT or LANDMARK size that matches your existing compatible pole.
Can I purchase a replacement pole and carry bag?
Yes. Open Pole & Carry Bag (Only) and select the set matching your PROMO, EVENT or LANDMARK flag size. A printed flag and base are not included with this option.

Is a base included with the system?
No. Bases and mounting options are selected separately, allowing you to choose the correct hardware for indoor floors, outdoor ground or a fixed mounting position.
Artwork
Can I upload my own artwork?
Yes. Upload your print-ready artwork through the calculator. Every submitted file is reviewed before production begins.
Do you provide Teardrop System artwork templates?
Yes. Separate PDF templates are available for PROMO, EVENT and LANDMARK sizes in both single-sided and double-sided formats.
Choose the template matching the exact size and print configuration being ordered. Double-sided templates include the front and horizontally mirrored back contours together on one page.
Where should important text and logos be positioned?
Keep all important text, logos and essential imagery inside the safe zone shown on the selected template. Background colours and images should extend through the complete bleed contour.
What artwork file formats can I upload?
The calculator accepts PNG, JPG, JPEG, PDF and Adobe Illustrator files up to 25 MB per file. A correctly prepared, high-resolution, print-ready PDF is preferred where available.
Can JBMVootu assist with my artwork?
Yes. Optional artwork-assistance services can be selected in the calculator. Charges apply per uploaded artwork file and are shown before the design is added to your order.
Can I submit an order without uploading artwork?
Yes. The calculator will ask you to confirm that you want to continue without artwork. JBMVootu will contact you to arrange the required files, and production cannot begin until suitable artwork has been received and approved.

Can I order multiple Teardrop Systems or different configurations together?
Yes. Select Add to Order to save the current configuration under Your Designs, then build the next item. Complete systems, replacement flags, poles, bases, quantities and artwork can be combined in one organised order.
How do the automatic volume discounts work?
The calculator automatically applies 10% off when eligible Teardrop System products reach $1,000.00 and 15% off when they reach $2,000.00.
Artwork assistance and freight are excluded from the discount calculation.
Are the displayed prices inclusive of GST?
Yes. Product prices, selected bases, artwork-service charges and the displayed order subtotal include GST. Delivery is confirmed after order review.
Is a purchase order number required?
No. The Purchase Order Number field is optional and can be left blank if your business or organisation does not use purchase orders.
Where are the flags printed and finished?
Every Teardrop System flag is professionally printed and finished in Melbourne, Australia.
When does production begin?
Production begins after JBMVootu has reviewed the order, the customer has approved the artwork proof and the applicable payment requirements have been satisfied. Approved account customers follow their agreed account terms.

Can I collect my order?
Yes. Pickup can be selected when submitting the order. Collection availability and instructions are confirmed during order review.
Setup, Outdoor Use & Care
How do I choose the correct base?
Choose the base for the actual display surface and conditions. Ground spikes are intended for suitable soft ground, plate and display bases suit appropriate firm surfaces, and brackets are intended for compatible fixed mounting locations.
Always ensure the system is correctly assembled, stable and appropriate for the surrounding conditions before use.
Can Teardrop Systems be used outdoors?
Yes, when the system is correctly secured with a suitable base and conditions remain within the product guidance. Outdoor conditions can change quickly, so the display should be monitored while in use.
What wind conditions are suitable?
Teardrop Systems must not be used in winds stronger than a fresh breeze, Beaufort Force 5. At Force 5, use caution and remove the display if conditions increase or gusts become stronger.
At Force 6 or above, remove the system immediately and do not use it. Excessive wind can damage the flag, pole and mounting hardware.
How long will the printed flag last?
Printed flags naturally experience wear and colour fading through ordinary outdoor use. An indicative life expectancy is approximately three months, although actual service life varies according to wind, sunlight, weather exposure, frequency of use and how the flag is handled and stored.
Larger flags experience greater wind loading and may wear faster in exposed locations.
How can I extend the life of my flag?
- Remove the system when wind or weather conditions deteriorate.
- Do not leave the flag outdoors permanently.
- Allow a damp flag to dry completely before storage.
- Keep the fabric away from sharp edges and abrasive surfaces.
- Store the clean, dry flag and pole securely inside the carry bag.
How should I clean and store the flag?
Remove loose dust carefully and spot-clean only when necessary using a clean, soft cloth and mild soapy water. Avoid bleach, solvents, abrasive cleaners and harsh scrubbing.
Make sure the flag is completely dry before folding or storing it. Disassemble the pole carefully and keep the components in the carry bag in a clean, dry location.
What if my order arrives damaged?
Inspect the order as soon as it arrives. If transport damage has occurred, contact JBMVootu promptly and include clear photographs of the packaging and the affected product.
